Alo Travels Planning Services Agreement
Please review our planning services terms and agreement.
This Travel Planning Services Agreement (“Agreement”) outlines the relationship between Alo Travels, an independent partner with Fora Travel (“Agency”), and the Client.
By working with us, the Client agrees to the following terms:
1. Scope of Services
The Agency provides customized travel planning services, which may include:
- Researching destinations, accommodations, and experiences
- Designing a personalized itinerary based on the Client’s preferences
- Coordinating bookings for hotels, transportation, tours, and other travel services
- Providing recommendations, guidance, and support throughout the planning process
Services are tailored to each Client and are intended to create a seamless, thoughtful, and elevated travel experience.
Exclusions: Unless otherwise agreed in writing, services do not include visa processing, passport renewal assistance, travel insurance claims, or management of travel arrangements booked independently by the Client.
2. Planning Fee & Payment Authorization
The Client acknowledges that the Agency invests significant time, expertise, and resources into the planning and design of each trip.
- A planning fee applies to cover consultation, research, itinerary development, and coordination services.
- This planning fee may be charged if the Client:
- chooses not to proceed with booking through the Agency after planning work has begun
- elects to book independently using the itinerary provided
- discontinues the planning process after substantial work has been completed
The Client agrees to provide a valid credit card to be kept securely on file and authorizes the Agency to charge the planning fee if incurred.
Once charged, the planning fee is non-refundable. A separate secure link will be provided for payment collection and storage of payment details.
3. Communication & Planning Inclusions
To ensure an efficient and high-touch planning experience, the Agency includes the following within its standard planning service:
- One initial consultation call
- One itinerary review or presentation call
- One debrief call post-travel
- Email support for routine questions, confirmations, and planning updates
- A defined round of three itinerary revisions after the initial proposal is presented
The Client understands that the Agency maintains a structured planning process in order to provide thoughtful and timely service to all clients. Additional calls, planning sessions, or revisions beyond those included above may be subject to an additional service fee.
Requests that materially change the original trip scope, including but not limited to destination changes, major date changes, substantial budget changes, or full itinerary redesigns, may require an additional planning fee or added service fee. Any such fee will be communicated in advance before additional work begins.
4. Changes & Revisions
The Agency includes one round of reasonable revisions to the itinerary after the initial proposal is presented.
Additional revisions, repeated proposal reworking, or significant changes to the trip scope may require additional planning time and may be subject to an added fee. This includes, but is not limited to:
- Major destination changes
- Significant date changes
- Material budget changes
- Full itinerary redesigns
- Revisions requested after confirmations have been made
Any such additional fees will be communicated before additional work begins.
5. Client Responsibilities
The Client agrees to:
- Provide accurate traveler information, including full legal names exactly as they appear on passports and other identification
- Review all confirmations, documents, and itinerary details carefully upon receipt
- Ensure all travelers have valid passports and meet any visa, health, entry, and travel requirements
- Make timely decisions and provide approvals to avoid delays in the planning and booking process
- Communicate within the Agency’s planning process and designated communication channels
The Agency is not responsible for errors, delays, losses, or additional costs resulting from inaccurate or incomplete information provided by the Client.
6. Travel Insurance
The Agency strongly recommends the purchase of comprehensive travel insurance to protect against unforeseen circumstances, including trip cancellation, interruption, supplier default, medical emergencies, and travel delays.
By signing this Agreement, the Client acknowledges that:
- Travel insurance has been recommended
- The decision to purchase or decline travel insurance is the Client’s responsibility
The Agency is not responsible for losses that may have been covered by travel insurance had such coverage been purchased.
7. Limitation of Liability
The Agency acts solely as an intermediary between the Client and third-party travel suppliers, including but not limited to hotels, airlines, cruise lines, tour operators, transportation providers, and destination management companies.
The Agency shall not be liable for:
- Acts, errors, omissions, or defaults of third-party suppliers
- Travel disruptions, delays, cancellations, schedule changes, weather events, labor strikes, government actions, public health events, or other force majeure events
- Personal injury, property damage, financial loss, or inconvenience arising from acts or omissions of third-party suppliers
- Any additional costs incurred due to the Client’s failure to obtain proper travel documents or comply with destination requirements
The Client assumes full responsibility for meeting all travel requirements, including passport validity, visa requirements, entry rules, health documentation, and destination-specific regulations.
8. Additional Fees
The Agency aims to be transparent in its pricing and additional service fees. Depending on changes to the standard project scope, additional fees may apply, including but not limited to:
- Expedited or rush planning timelines
- Larger or more complex group travel
- Last-minute changes to confirmed itineraries
- Additional planning calls or extended revisions
- Client-initiated cancellations after confirmation
Any applicable fees will be communicated in advance whenever possible.
9. Cancellation & Termination
Either party may choose to discontinue the planning relationship.
- If the Client chooses not to proceed with bookings through the Agency after planning work has begun, applicable planning and service fees may apply
- If the Client cancels a confirmed itinerary, applicable fees may apply in addition to any penalties, change fees, or non-refundable amounts imposed by travel suppliers
- The Agency reserves the right to discontinue services if the working relationship is no longer a fit or if the Client does not adhere to the Agency’s planning process, with reasonable notice where appropriate
All fees earned for work performed up to the date of termination remain due and payable.
10. Acceptance of Terms
By signing below, the Client acknowledges that they have read, understood, and agreed to the terms outlined in this Agreement.
The Client further acknowledges that selecting “Agree,” signing electronically, or otherwise authorizing the Agency to proceed constitutes acceptance of this Agreement.
